4 Simple Ways to Increase Focus and Get Things Done

Not too long ago, I set up a reminder for an event that my boss would be attending. When the day of the event came we received the reminder about three hours before the start time. I was shocked – I am usually much better at reminding him than this. We got everything taken care of and in the aftermath I started to evaluate what went wrong. Where had my focus been hiding the day before?

We’ve all had the kinds of days where we seem to float from one incomplete project to another.  We start the morning with enthusiasm and then pepper our days with trips to Facebook and Twitter. Hey, nothing wrong with it – we’re human beings and the shiny things on the internet can interfere with what we’re trying to get accomplished.

If you feel like you’re spending too much time being distracted and not enough time being focused on what you have on your to do list, try these four things to see if they help you to tick off the things on your list.

  • Sleep More, Eat Less. Try going to bed thirty minutes earlier every night to increase the chance that you’ll reach the deepest sleep and wake up feeling rested.  If you’re looking at the clock to see if it’s time to go home so you can catch a cat nap that is going to be your focus for the day. Eat less at lunch because once your belly is full the productivity level will slowly go down. I’m not suggesting you skip lunch but if you chow down on that turkey dinner, we all know what is going to happen.
  • Change Your Environment. Clean up the clutter on your desk or grab a notepad (yes people still use paper) and camp out somewhere for the day.  Sometimes getting out of the norm will inspire you to get down and get some things done.
  • Stop Multitasking. Believe it or not, we cannot multitask. The human brain is not built like a computer and lacks the ability to focus attention on two or more things that once. Create daily tasks lists to keep track of all the things you need to get done in your day. Use the timer system to be sure you don’t get lost on the internet – for example, I’m going to spend thirty minutes commenting on blogs and then move on to the next task.
  • Throw Yourself a Bone. Remember to reward yourself along the way as you get things accomplished. Not only is it good for your soul to take a moment to pat yourself on the back and say job well done, it’s also an important part of keeping yourself motivated to go on to the next project.

Have you tried any of these before? What was your success rate? I have personally found that cleaning up my desk is a huge boost to my productivity levels but I’m sure that doesn’t work for everyone.  What are some of the things you do to get yourself motivated to have a focused and fulfilling day at work?

I definitely agree. Focus is inevitable to achieve desired goal. The most important thing here is actually prioritizing our goals and allowing some patience for them, that is the big part of staying focused.
    Thanks for sharing informative tips!

So true! Patience is a huge part of getting things done which is why I also always suggest that people have different lists. Instead of including monthly goals on daily lists –  separate them, that way you aren’t bogged down in a list of things that you feel like you never check off.

Sleep more and eat less are things that one should especially do when attending business meetings or conferences that last all day or for multiple days.  I use to have many of these and recall how easy it is for people to stuff themselves silly at the buffet table three times per day and party into the wee hours.  It’s no wonder how focus is lowered significantly as the hours and days go by during these meetings.

I am amazed at people who can do that Clint! When I’m at a conference I am back in the hotel room by 10:30 – there is no way I could party into the morning and somehow manage to crawl to conference sessions and pay attention. Thanks for your input!

i agree with these 4 way.. whene i  cleaning up my desk before  start my daily task , its help me to do my task beter . but i cant keep my motivation and ask you to help me “how can i keep motivation on my task?????????”

    • http://all.pro Maranda

Much of the motivation will depend on what kind of task you are taking on. Maybe you are trying to focus on a project as a whole, instead of breaking it out into individual parts.

Cleaning my desk or changing my environment definitely helps. Eating less? Not so much. I forget to eat because I get caught up in my work, and then my focus an energy dwindles as a result.

    • http://all.pro Maranda

That’s very true, Matt. I would say that being sure to eat something “balanced” for lunch might be a good suggestion to add.

Stopping the multitasking works for me – I find myself recommitting to it every once in a while :)
Another thing that’s been working for me is to schedule time to do those time wasting things (for me it’s Facebook and YouTube). I schedule them for the end of the day kinda as a reward for avoiding them during the day. And then I actually take the time to check them at the end of the day (if I don’t the next day I slip back into checking them hourly or so).

    • http://all.pro Maranda

Thanks for that Evie! I’ve actually outlined a similar blog post that talks about why you should schedule time in to take a Facebook / Twitter (or in my case Tumblr) break. I think it’s a good thing to use as a reward. Hey you finished this project – go spend 10 minutes on Twitter, you earned it.

I like it! Yea, even though multitasking is attractive to our “get things done nowwwwww” brain, it’s just ineffective. Sweet list. Loving coming here.

It is amazing how I feel doing something as simple as clean my desk or even just sorting mail. It gives me the extra energy to continue on to the other things that need to be done, and I still feel like I have time to burn! Sounds crazy, but so true.

Back in the days, I tend to sleep less and it did not help increasing my focus. I was never effective. It was such a waste of time and effort must be excreted to be able to stay on top. I agree with what you have written Maranda.

    • http://all.pro Maranda

Thanks for that Agatha! I actually have started the 30 minutes earlier sleep time in the last month and it’s amazing how much better I feel in the morning.

I love the “sleep more” tip. It seems as our lives get busier and our to-do lists longer, sleep is the first thing to get cut. I’ve never understood how many think it’s a waste of time! Don’t we need to be rested so we can be awake and have energy to live and enjoy life?

As for multi-tasking….so overrated. It just makes us feel more productive, but doesn’t accomplish as much as we think.

I’m fighting the good fight with the clutter, at work and at home.

    Thanks for the great reminder!

    • http://all.pro Maranda

Sleeping more is probably the best change we can make right away. I don’t think we realize how much we can suffer from not getting enough enough sleep.  As far as the research I’ve read lately, most people seem to say that multi-tasking is impossible for humans, because for the most part we only think with one half of our brains and we simply can’t think like a computer would.  Interesting stuff out there.  Thanks for your comment Ritu!
